Scope and Contents

The financial volumes in this series have been arranged into sub-series based on their subject matter, their format, or some combination of the two.

The first three sub-series relate to narrower aspects of the College's financial history. The sub-series "Stocks and stockholders" includes accounts pertaining to the purchase, ownership, and transferral of stock in the Corporation of Haverford School, later Haverford College. Volumes in the sub-series "Haverford farm accounts" include accounts capturing the revenues and expenses of the Haverford farm as well as the inventory and appraisal of farm equipment and livestock and production of farm goods. The third sub-series, "Stationery and bookstore accounts," includes student accounts for stationery and are similar to modern-day bookstore accounts. These accounts also include incidental services required by students such as shoe repair and barbering. Some volumes also include the stationery and incidental accounts of faculty members. Some volumes that contain stationery account information (including volumes 133, 134, and 135) have been categorized in the "Cash and income ledgers and other ledgers" sub-series since they also include information about broader Haverford College expenses and revenues.

The "Receipt books" sub-series includes volumes that record the receipt of payments made by the College for a variety of expenses. Many entries in these books record the College's payments to individuals for their labor and services.

The "Petty cash and receipt books" sub-series includes two books kept by Treasurer Asa S. Wing that record the College's revenues and expenses.

Volumes in the "Wages and payroll" sub-series record the wages paid to employees of the Haverford School and later Haverford College. A payroll register is also present in Accounts with students for money advanced, 1833-1836 (Volume 22) and the years 1876-1878 in Receipt book, 1871-1880 (Volume 56) primarily record payroll information.

The "Cash books" sub-series includes account books that employ double-entry accounting and record cash outflows and cash inflows related to specific accounts on adjacent pages.

The "Treasurer's accounts" sub-series includes one volume of the Treasurer of the Corporation's accounts with three superintendents and one volume containing the outgoing correspondence of three Treasurers.

Volumes in the "Daybooks" sub-series are account books of original entry in which transactions are largely organized chronologically.

The "Journals" sub-series includes volumes with detailed accounts of revenues and expenses pertaining to the Haverford School, and later Haverford College.

The "Endowed funds, endowed fund indices, and comprehensive ledgers" sub-series includes account books that employ double-entry accounting and often include an alphabetical index of accounts at the front of the volume or in a separate companion volume. Most accounts in this sub-series relate to the College's endowment.

Many of the volumes in the "Cash and income ledgers and other ledgers" sub-series are cash and College income ledgers that record cash and checks provided by the Treasurer to reimburse various expenses and cash income received by the Treasurer. The other volumes are ledgers that contain a mixture of transactions related to student and faculty accounts, College expenses, subscriptions, and provisions.

The "Monthly accounts" sub-series includes volumes that list the expenses and revenues of the College on a monthly basis.

The sub-series "Other accounts and financial records" includes accounts related to the parents and guardians of students, the purchase of land for the College in 1838, expenses, building projects, student loans, and memoranda on investments and insurance.

The final volume, Record of Trusts, contains detailed information on the various trusts established at Haverford, which are organized alphabetically.

Access Restrictions

Haverford College financial records are closed for a period of 25 years from the date of the creation of the record.
